Privacy notice

What we collect, why we collect it, and what your rights are.

November 2026

1. Who we are

JB Football Coaching provides football coaching, small group sessions, camps and related resources.

The organisation responsible for your personal information is trading as JB Football Coaching. Privacy contact: [email protected].

2. Information we collect

Depending on how you use our services, we may collect parent, carer and adult participant names and contact details; player names, dates of birth or age groups; booking, attendance, purchase and payment records; emergency contacts and authorised collection information.

We may also collect relevant medical conditions, allergies, injuries and additional support needs; messages, feedback, complaints and incident reports; photographs, videos and testimonials where agreed; and website technical information, where collected by the services identified below.

We receive information directly from you, through our booking system, from parents or carers on behalf of children, and from coaches recording attendance or relevant incidents.

3. How and why we use information

Bookings, purchases and enquiries

We use adult customer contact details and order information to respond to enquiries, arrange services and deliver purchases. Our basis is taking steps at your request before entering a contract, or performing our contract with you.

Player participation and session administration

We use player details, attendance, emergency contacts and collection information to organise suitable sessions and manage participation safely. Our basis is legitimate interests in delivering and administering safe coaching. Where the participant is a child, we consider their rights and interests carefully.

Medical and additional support information

We use relevant information to adapt activities and support safe participation. Our proposed basis is legitimate interests in providing safe, inclusive coaching, with explicit consent as the additional condition for routine processing of health information.

Accounts and legal obligations

We retain relevant transaction records to meet applicable accounting, tax and other legal requirements. Our basis is legal obligation.

Complaints and safeguarding concerns

We use relevant information to respond to concerns and protect participants. We rely on legitimate interests and, where a specific legal duty applies, legal obligation.

Photography, video, testimonials and marketing

Where we rely on consent, we ask separately and explain the intended use. Promotional use and coaching analysis will have separate choices.

4. Children's information

We collect only information needed to support participation, safety and administration. Parents or carers normally provide booking information for children. We also respect children's views and explain relevant uses in language they can understand.

We do not make promotional photography consent a condition of attending coaching.

5. Who we share information with

We share information only where needed for the purposes described in this notice. Recipients may include authorised JB coaches who need information to deliver sessions safely; Pembee for booking administration; and Jonathan to name the payment, digital shop, email and website hosting providers.

Recipients may also include emergency services, safeguarding authorities or other appropriate bodies where necessary, and professional advisers where needed for business administration or legal matters.

We do not sell personal information. Payment providers process payment information under their own arrangements.

6. International processing

Some service providers may store or access information outside the UK.

7. How long we keep information

We retain information only for as long as needed for its purpose, including relevant legal, safeguarding and insurance requirements.

  • Booking, attendance and contact records: retention period to be confirmed
  • Medical and support information: retention period to be confirmed
  • Transaction and accounting records: retention period to be confirmed
  • Complaints, incidents and safeguarding records: 6 month retention period.
  • Photographs, videos and testimonials: 12 months, unless shared on social media, in which case they stay up until deletion is requested.

Information is then securely deleted or anonymised where appropriate.

8. Protecting information

We use appropriate security measures and restrict access to people who need information for their role.

9. Your rights

Depending on the circumstances, you may have the right to access your information, correct inaccuracies, request deletion, restrict processing, object to processing or receive certain information in a portable format.

Where processing relies on consent, you can withdraw it at any time. Withdrawal does not affect the lawfulness of earlier processing.

For requests, email [email protected]. We may need to verify your identity. Children have their own data protection rights, and a parent's ability to act on their behalf depends on the circumstances.

If you withdraw consent for information needed to support safe participation, we will discuss whether suitable arrangements remain possible.

10. Required information

Some booking, emergency and relevant safety information is necessary to arrange and deliver sessions. If it is not provided, we may be unable to confirm a booking or support participation safely.

Optional promotional and marketing consent is not required to attend.

11. Concerns and complaints

Please contact [email protected] with privacy questions or concerns. You also have the right to complain to the Information Commissioner's Office. Information is available at ico.org.uk.

12. This website

This website does not use advertising or tracking cookies. It loads a map from Google Maps on some pages, so Google may receive your IP address when that map loads.

13. Changes to this notice

We will update this notice when our services or information handling practices change and communicate significant changes where appropriate. Last updated: November 2026.
